Who we are
The Tucson Women’s Chorus is a 501(c)(3) nonprofit choral organization based in Tucson, Arizona. This policy explains what happens to your information when you use this website. It was last updated on October 1, 2026.
The short version
This website has no analytics, no advertising and no tracking of any kind. We do not build profiles of the people who visit, and we do not sell, rent or share anyone’s information with anyone for any purpose other than running the chorus.
We do hold information about our members, because we cannot run a chorus without it, and about people who send us messages or join our mailing list. This page explains each of those.
Visiting the site
You can read every page of this site without telling us anything. We set no cookies for ordinary visitors and run no scripts that report your visit to anyone else.
If you are a member and you log in, your browser is given a standard login cookie so the site remembers you between pages. It does nothing else, and it goes away when you log out.
The contact form
If you send us a message, we ask for your name and email address, and you can optionally add a phone number and tell us what your message is about.
That message is delivered to the chorus’s email inbox. It is not stored in a database on this website — our form software sends it and keeps no copy. Once it arrives, it lives in our email account like any other message, and we keep it for as long as it is useful to us.
We use your email address to reply to you. We will not add you to our mailing list because you contacted us.
Becoming a member
Registering as a singer is different from everything above, because this information is stored on this website rather than just passing through it.
When you register we collect your name, email address, phone number and mailing address, and you create a password so you can sign in and manage your own registration. That record is kept in this website’s database for as long as you are a member of the chorus, and for a reasonable period afterwards so that we have a history of who sang with us and when.
We use it to run the chorus: to reach you about rehearsals and concerts, to keep track of who has registered and paid for a season, and to keep the records a nonprofit is required to keep. We do not use it for anything else, and we do not share it outside the chorus.
You can sign in at any time to see and correct what we hold, or write to us and ask us to do it for you.
Paying for membership
There are several ways to pay, and they handle your information differently.
By card, on this site. The card fields are provided by Square and your card number is sent directly to Square from your browser. It does not pass through this website and is never stored on our server. What we receive is confirmation from Square that the payment succeeded, along with the amount, the date, and the last four digits of the card.
By check, Zelle or cash. These happen away from this website. A Zelle transfer takes place inside your own bank’s app; we simply see that it arrived. In each case a board member records that your payment was received, and that record — your name, the amount, the date and the method — is kept with our financial records.
Donations and concert tickets
Donations and advance concert admission are handled on Square’s own website. You leave this site to complete them, so we never see or handle your card details at all. What Square passes back to us is your name, your email address, the amount and the date, which we use to thank you, to send tax receipts, and to keep our financial records.
Square has its own privacy policy governing what it does with your information, and it is worth reading if you would like to know more.
Our mailing list
We send occasional email about concerts, open rehearsals and chorus news.
Registering as a singer subscribes you to it. That is what most people expect when they join a chorus, but we would rather say it plainly than have it come as a surprise: complete the registration form and you will start receiving chorus email.
Leaving is always available and takes one click. Every message we send has an unsubscribe link at the bottom. You can also simply write and ask us to take you off. We will not ask why, and once you are off the list nothing we do can put you back on it — only you can.
Unsubscribing has no effect whatsoever on your membership. You can sing with us for years and never be on the list. Equally, leaving the chorus will not unsubscribe you — if you still want to hear about concerts, you will keep hearing about them until you say otherwise.
We will not add you any other way. Not because you contacted us, not because you bought a ticket, and not because you made a donation.
The list is run by Mailchimp, which stores your name and email address on our behalf and records whether our messages were opened. If you are a member, your membership level is recorded alongside your email address, so that we can write to singers specifically rather than to everyone. Mailchimp has its own privacy policy.
The chorus’s email runs on Google Workspace. Messages sent from this website’s contact form are delivered through Brevo, an email delivery service. Both handle mail in transit on our behalf; neither uses the contents of your message for their own purposes.
Our web host
This site and its database — including member records — sit on a commercial web host’s servers. Like nearly every website, the server keeps automatic logs of the requests it receives, which include IP addresses, browser types and the pages requested. These are generated by the hosting software rather than by us, they are used to keep the site running and secure, and they are discarded on the host’s ordinary schedule.
Photographs
The photographs on this site are of our singers, taken at rehearsals, concerts and chorus events. We use them to show people what the chorus is actually like.
If you are pictured on this site and would prefer not to be, please contact us and we will remove the photograph. You do not need to give us a reason.
Links to other sites
This site links out to Facebook, Instagram, YouTube, Square and occasionally to other organizations. Those links are ordinary links — following one takes you to a site we do not control and whose privacy practices are their own. Nothing on our pages loads content from those services or reports your visit back to them.
Children
This website is not directed at children, and we do not knowingly collect information from anyone under 13. If you believe a child has sent us information through this site, please contact us and we will delete it.
Your choices
You can ask us what information we hold about you, ask us to correct it, or ask us to delete it. Members can sign in and do most of that themselves. Write to us at the address below and we will do our best to help.
Some things we may have to keep even if you ask us to delete them — financial records, for instance, which a nonprofit is required to retain for a period. If that applies we will tell you what we are keeping and why.
Changes to this policy
If we start doing something new with your information, we will update this page before we begin, and change the date at the top.
